1. Who we are

نادي الطلبة السعوديين في ملبورن (SSAM) جمعية طلابية غير ربحية مسجّلة في ولاية فيكتوريا بأستراليا برقم التسجيل A0098040X لدى Consumer Affairs Victoria، وتعمل تحت مظلة الملحقية الثقافية السعودية في أستراليا. نحن الجهة المسؤولة عن البيانات الشخصية الموضّحة في هذه السياسة.

The Saudi Students Association in Melbourne (SSAM) is a non-profit student association registered in Victoria, Australia under registration number A0098040X with Consumer Affairs Victoria, operating under the umbrella of the Saudi Cultural Mission in Australia. We are the entity responsible for the personal information described in this policy.

جميع البيانات التالية مرتبطة بهوية العضو:

All of the following data is linked to the member’s identity:

• الاسم — الاسم الكامل والاسم المفضّل.Name — full name and preferred name.
• البريد الإلكتروني — للتواصل وتسجيل الدخول والإشعارات.Email address — for contact, sign-in and notifications.
• رقم الهاتف — رقم الجوال و/أو واتساب.Phone number — mobile and/or WhatsApp number.
• الصور — الصورة الشخصية للملف، وصور الشاشة الاختيارية المرفقة بتذاكر الدعم الفني.Photos — profile photo, and optional screenshots attached to support tickets.
• معرّف المستخدم — معرّف الحساب والعضوية داخل النظام.User ID — account and membership identifiers within the system.
• محتوى يقدّمه المستخدم — السيرة الذاتية، ساعات التطوّع، سجلات الحضور، طلبات العضوية والمشاركة، وتذاكر الدعم الفني وردودها.Other user-submitted content — CV files, volunteer hours, attendance records, membership and participation applications, and support tickets with their replies.
• بيانات الأعطال والتشخيص — تقارير الأعطال ومعلومات تقنية محدودة تساعدنا على إصلاح المشكلات.Crash and diagnostic data — crash reports and limited technical information that helps us fix problems.

تُقدَّم بيانات العضوية عند التقديم للانضمام إلى النادي. الحسابات تُنشأ بدعوة من إدارة النادي فقط — لا يوجد تسجيل ذاتي مفتوح.

Membership data is provided when applying to join the club. Accounts are created by club administrators by invitation only — there is no open self-registration.

• المصادقة — تسجيل الدخول الآمن وحماية الحسابات والصلاحيات.Authentication — secure sign-in, account protection and permissions.
• إدارة شؤون النادي — العضوية، الفعاليات والفرص التطوعية، احتساب ساعات التطوّع واعتمادها، وإصدار الشهادات — تحت مظلة الملحقية الثقافية السعودية في أستراليا.Club administration — membership, events and volunteering opportunities, recording and approving volunteer hours, and issuing certificates — under the umbrella of the Saudi Cultural Mission in Australia.

5. أين تُخزَّن البيانات ومن يعالجها

نستعين بمزوّدي خدمة يعالجون البيانات نيابةً عنا فقط، ووفق تعليماتنا:

We use service providers that process data only on our behalf and on our instructions:

• Supabase — قاعدة البيانات، والمصادقة، وتخزين الملفات (الصور والسير الذاتية ومرفقات الدعم).Supabase — database, authentication, and file storage (photos, CV files and support attachments).
• Google Workspace (SMTP) — إرسال الرسائل التشغيلية من العنوان info@ssamau.com، مثل الدعوات وإشعارات الفرص والشهادات وردود الدعم.Google Workspace (SMTP) — delivering our transactional email from info@ssamau.com, such as invitations, opportunity notifications, certificates and support replies.
• Netlify — استضافة الموقع الثابت وتسليم صفحاته.Netlify — static website hosting and page delivery.

قد تُخزَّن البيانات أو تُعالَج على خوادم خارج أستراليا لدى هؤلاء المزوّدين. نتعامل مع معلوماتك الشخصية بما يتوافق مع مبادئ الخصوصية الأسترالية (Australian Privacy Principles)، ونتخذ خطوات معقولة للتحقّق من التزام مزوّدينا بحماية مماثلة.

Data may be stored or processed on servers outside Australia by these providers. We handle your personal information consistent with the Australian Privacy Principles (APPs), and take reasonable steps to satisfy ourselves that our providers apply comparable protections.

6. من يستطيع الاطلاع على بياناتك

الوصول مبني على الصلاحيات: يرى العضو بياناته الخاصة، ويرى رئيس اللجنة بيانات أعضاء لجنته لأغراض إدارة العمل التطوعي، وتطّلع إدارة النادي على البيانات اللازمة لإدارة العضوية والساعات والشهادات. تُطبَّق هذه القيود على مستوى الخادم.

Access is permission-based: a member sees their own data; a committee head sees their committee’s members for the purpose of managing volunteering; and club administrators access what is needed to manage membership, hours and certificates. These restrictions are enforced server-side.

7. مدة الاحتفاظ بالبيانات والتسليم السنوي

7. Retention and the annual handover

نحتفظ ببيانات العضو طوال فترة عضويته في النادي، وبعدها بالقدر اللازم لحفظ السجل التطوعي (مثل ساعات التطوّع والشهادات الصادرة، التي تبقى قابلة للتحقّق).

We retain a member’s data for as long as they are part of the club, and afterwards only as needed to preserve the volunteering record (for example volunteer hours and issued certificates, which remain verifiable).

عند التسليم السنوي بين اللجان الإدارية، تُنقل مسؤولية إدارة البيانات إلى الإدارة الجديدة داخل المنصّة نفسها، وقد تُجمّد البيانات مؤقتاً (وضع القراءة فقط) لضمان سلامتها أثناء عملية التسليم. لا تُنقل البيانات إلى أي جهة خارج النادي في هذه العملية.

During the annual handover between committees, responsibility for the data passes to the incoming administration within the same platform, and the data may be temporarily frozen (read-only) to protect its integrity during the transition. No data is transferred outside the club as part of this process.

8. حقوقك

8. Your rights

يمكنك طلب الاطلاع على بياناتك الشخصية، أو تصحيحها، أو حذفها. يستطيع الأعضاء تعديل جزء من بياناتهم مباشرةً من ملفهم الشخصي داخل المنصّة، ويمكنهم حذف حساب المنصّة بأنفسهم من التطبيق أو من الموقع، دون مراسلتنا — انظر القسم 9 أدناه. ولأي طلب آخر يخص بيانات العضوية نفسها، راسلنا على info@ssamau.com وسنستجيب خلال مدة معقولة.

You may request access to your personal information, ask us to correct it, or ask us to delete it. Members can update some of their details directly from their profile in the platform, and can delete their platform account themselves, in the app or on the website, without contacting us — see section 9 below. For any other request about the membership record itself, email info@ssamau.com and we will respond within a reasonable time.

9. Deleting your account

يمكنك حذف حساب المنصّة بنفسك من داخل تطبيق SSAMAU لأجهزة iOS، أو من الموقع عبر صفحة «ملفي الشخصي»، دون الحاجة إلى مراسلتنا أو انتظار موافقة. الحذف نهائي وفوري ولا يمكن التراجع عنه.

You can delete your platform account yourself from inside the SSAMAU iOS app, or on the website from your “My profile” page, without emailing us or waiting for approval. Deletion is immediate, permanent and cannot be undone.

ما الذي يُحذف: حساب الدخول الخاص بك — اسم المستخدم وكلمة المرور وبيانات الاعتماد وجميع الجلسات النشطة، بالإضافة إلى أي دعوة أو رابط تفعيل معلّق. بعد الحذف لا يمكنك تسجيل الدخول، وتتوقف جميع أجهزتك عن الوصول فوراً.

What is deleted: your sign-in account — username, password, credentials and every active session, along with any pending invitation or activation link. After deletion you can no longer sign in, and access stops immediately on all of your devices.

ما الذي يبقى ولماذا: حساب الدخول منفصل عن سجلّ العضوية. يحتفظ النادي بسجلّ العضوية — الاسم وبيانات التواصل واللجنة وساعات التطوّع والشهادات الصادرة — بصفته السجلّ الرسمي للجمعية، لأنه لازم للتسليم السنوي بين اللجان ولتقارير الملحقية الثقافية السعودية (SACM)، ولأن الشهادات الصادرة يجب أن تبقى قابلة للتحقّق من قِبل جهات خارجية. حذف حساب الدخول لا يُنهي عضويتك، ولا يحذف ساعاتك أو شهاداتك.

What is kept, and why: your sign-in account is separate from your membership record. The club retains the membership record — name, contact details, committee, volunteer hours and issued certificates — as the association’s official register. We need it for the annual handover between committees, for reporting to the Saudi Arabian Cultural Mission (SACM), and because issued certificates must stay verifiable by third parties. Deleting your sign-in does not end your membership, and it does not erase your hours or certificates.

بعد الحذف يظهر سجلّك في المنصّة كعضو بلا حساب، تماماً كأي عضو لم تُرسل له دعوة بعد. يمكن للإدارة دعوتك مجدداً لاحقاً إذا أردت العودة إلى المنصّة.

After deletion your record appears in the platform as a member with no account, exactly like a member who has not been invited yet. An administrator can invite you again later if you want access back.

إذا أردت مناقشة بيانات العضوية نفسها — تصحيحها، أو الاعتراض على الاحتفاظ بها، أو إنهاء عضويتك في النادي — راسلنا على info@ssamau.com. هذا الطلب منفصل تماماً عن حذف الحساب، ولا يُشترط لإتمامه.

If you want to discuss the membership record itself — correcting it, objecting to our keeping it, or ending your membership of the club — email info@ssamau.com. That is a separate request from account deletion, and is never required in order to delete your account.

10. أمن المعلومات

نستخدم الاتصال المشفّر (HTTPS)، وجلسات دخول آمنة، وصلاحيات مبنية على الدور، وتخزيناً خاصاً غير معلن للملفات الحسّاسة مثل السير الذاتية ومرفقات الدعم. ومع ذلك، لا توجد وسيلة نقل أو تخزين إلكتروني آمنة بشكل مطلق.

We use encrypted connections (HTTPS), secure sign-in sessions, role-based permissions, and private (non-public) storage for sensitive files such as CVs and support attachments. That said, no method of electronic transmission or storage is completely secure.

11. خصوصية الأطفال

المنصّة موجّهة لطلبة الجامعات وأفراد المجتمع الطلابي السعودي في ملبورن، وليست موجّهة للأطفال.

The platform is intended for university students and members of the Saudi student community in Melbourne. It is not directed at children.

قد نحدّث هذه السياسة عند تغيّر خدماتنا أو المتطلبات النظامية. سيظهر تاريخ السريان المحدَّث أعلى الصفحة دائماً.

We may update this policy as our services or legal requirements change. The updated effective date will always appear at the top of this page.
